Connect your reporting in minutes

Start from the monthly reporting each portfolio company sends you. The deployment guide tells you where to find each figure in it, and how to enter it in the delivered Excel file. The report fills in, then updates every month with your new numbers.

Portfolio Monitoring
  • Excel
  • Salesforce

In three steps

  1. Test it

Open the report with the anonymized dataset: everything already works.

  2. Connect your data

List your portfolio companies in the delivered Excel file, then enter their revenue, EBITDA, and operating KPI for each month. Then point Power BI Desktop to that file, with the guide at hand.

  3. Check and publish

Compare one company's numbers with its reporting and run the guide's four checks, then publish the report for your team.

We list the big names, but the report connects to any data source. Not sure about yours? Email me a sample of your export at emilien@datapilot.fr, and I'll get back to you within 48 business hours.

Track revenue, EBITDA, and an operating KPI specific to each company's business vs. last year, with variances already calculated. You also see each company's weight in the portfolio, and your monitoring comments appear under its numbers. Clear numbers, ready to present to your leadership team.

FAQ

No. You enter each company's numbers in the same Excel file, one row per month, whatever its reporting looks like. The deployment guide tells you where to find each figure. I can help you connect your tools and answer your questions.

Yes. For each company, you choose the KPI its reporting already tracks. The report compares it with last year, like its revenue and EBITDA.

Add it to the company list in the Excel file, with its numbers for each month, then refresh the report: it appears in the Company list.

Yes. Add the same months from the previous year to the Excel file, and the report does the comparison on its own.

Technical details

Every report ships connected to an Excel file, the simplest setup when you don't have a data infrastructure. You can swap that file for your own Excel files, and, more importantly, connect the report directly to your sources.

Possible sources

  • Your portfolio companies' monthly reporting, in Excel

    By export
Each company's numbers, entered in the delivered file, one row per month.
    Direct connection
The report connects to your own Excel reporting files instead.
  • Odoo

    By export
The company's monthly numbers, in Excel or CSV.
    Direct connection
    The Odoo API.
  • Salesforce

    By export
The operating KPI tracked in the CRM, such as new customers, in Excel or CSV.
    Direct connection
    The Salesforce API.
  • A consolidation tool

    By export
Monthly numbers by company, in Excel or CSV.
    Direct connection
    Your tool's API or database.

A direct connection takes some setup on your side, and the closer you get to the source, the more technical it gets. I can help you connect through consulting services, so everything goes as smoothly as possible.

How the report is built today

The tables of the delivered Excel file, as the report reads them today. It stays flexible: your data doesn't need to have this exact shape.

  • "DIM_Company" sheet (portfolio companies)

Company (portfolio company name), Description (business), Investment date (date it joined the portfolio, as text)

  • "FACT_Financials" sheet (monthly numbers)

Company (portfolio company), Date (last day of the month), Revenue (revenue for the month, in dollars), EBITDA (EBITDA for the month, in dollars), KPI name (name of the operating KPI), KPI value (KPI value for the month)

  • "FACT_Comments" sheet (comments)

Company (portfolio company), Comment (comment text)

  • Calendar

    built into the report
  • Power BI Desktop file (.pbix), ready to publish to the Power BI service.
  • One page, Overview: company profile, four cards (revenue, EBITDA, EBITDA margin, operating KPI) vs. prior year with their monthly trend lines, a monthly chart vs. prior year, two donut charts (the company's revenue share and EBITDA share in the portfolio), and the comments; Year and Company filters, one company at a time; a KPIs slicer (Financial or Operating) switches the chart from revenue to the operating KPI.
  • Data loaded by Power Query from three sheets of an Excel workbook (DIM_Company, FACT_Financials, FACT_Comments), the anonymized dataset, which you replace with your numbers; a single query points to the file to read.
  • One row per company and per month: the month's revenue and EBITDA, not the running total, and one operating KPI per company, named freely. EBITDA is taken from your reporting, not recalculated.
  • Operating KPI as a Sum KPI (sum of the months) or a Snapshot KPI (last month's value), with its favorable direction, set in Power Query; by default, a Sum KPI where an increase is favorable.
  • Star schema: monthly numbers and comments linked to the companies, and a calendar rebuilt at every refresh.
  • DAX measures: revenue, EBITDA, EBITDA margin, and operating KPI for the selected year, up to the workbook's last month; their prior year over the same months; each company's weight among all companies in the workbook.
  • Variances in % relative to the absolute value of the prior year, to keep the right sign when prior-year EBITDA is negative; margin variance in points; colored badges follow each KPI's favorable direction: falling downtime minutes show in green.

Your report is ready. All it needs is your numbers.

One payment, no subscription. You get the report, its deployment guide, and an anonymized dataset already loaded. Connect your source, and your report is ready to use.
